3. Personal data we collect
3.1 Data you provide
Depending on how you interact with us, we may collect: name; work email address; job title, role, or department; company name; country or region; employee-count band; information about your organization’s SaaS-management challenges; demo and meeting preferences; newsletter or marketing preferences; the contents of messages or requests you send us; and any other information you choose to provide.
Please do not submit sensitive personal data, passwords, access tokens, payment-card details, customer tenant data, or confidential product information through marketing-site forms.
3.2 Data collected automatically
When you visit the Website, our systems and approved providers may process: IP address; device and browser information; approximate location derived from IP address; operating system; pages viewed and interactions; referring page and campaign parameters; date, time, and request logs; cookie and consent choices; and security and error information.
Non-essential analytics, advertising, embedded-media, scheduler, and chat technologies should operate only after the required consent has been recorded, as described in our Cookie Policy.
3.3 Data from third parties
We may receive personal data from scheduling providers when you book a meeting; customer relationship management and marketing providers; analytics and advertising providers, where permitted; event or referral partners; public professional sources when relevant to a business inquiry; and the Omneo product application when you choose to move between the Website and the application, subject to the applicable notices.
4. Why we use personal data and our legal bases
| Purpose | Typical data | Legal basis under GDPR |
|---|---|---|
| Manage the waitlist and assess early-access fit | Contact, company, role, country, company size, challenge | Legitimate interests in developing and launching our business and responding to your request; steps requested before entering a contract where applicable |
| Respond to inquiries and demo requests | Contact details, company, message, meeting information | Legitimate interests in responding to business communications; pre-contract steps where applicable |
| Send requested service or form confirmations | Contact details and submission status | Legitimate interests in confirming and administering your request |
| Send newsletters and promotional communications | Email, name, preferences, engagement | Consent where required; limited legitimate interests only where permitted by applicable direct-marketing law |
| Improve the Website and understand performance | Device, usage, consented analytics data | Consent for non-essential analytics; limited legitimate interests for privacy-preserving measurement where legally permitted |
| Measure and improve campaigns | Consented advertising identifiers, campaign interactions | Consent |
| Provide consented embedded video, scheduling, or chat | Device, interaction, provider data | Consent where required; steps requested by you where applicable |
| Protect the Website and prevent abuse | Logs, IP address, device, security signals | Legitimate interests in securing our Website, users, and business; legal obligations where applicable |
| Comply with law and establish or defend legal claims | Relevant records | Legal obligations; legitimate interests in legal claims |
| Administer future payments | Billing contact and provider transaction references | Performance of a contract; tax and accounting obligations. Payment-card data is processed by the payment provider, not Omneo |
Where we rely on legitimate interests, we assess those interests against your rights and reasonable expectations. You may contact us for more information about that assessment. Where we rely on consent, you may withdraw it at any time without affecting processing that occurred before withdrawal.
5. Marketing communications
We will send optional newsletters or promotional email only where we have an appropriate legal basis. Website forms must not make marketing consent a condition of joining the waitlist, requesting a demo, or contacting us. You can unsubscribe using the link in an email or by contacting legal@tryomneo.com. Transactional messages necessary to administer a request may continue even if you unsubscribe from marketing.
6. Cookies and similar technologies
We use cookies and similar technologies for necessary Website functions and, subject to your choices, analytics, advertising, embedded content, scheduling, and chat. Our Cookie Policy explains the technologies, purposes, providers, durations, and how to change your choices. A “Cookie preferences” control is available in the footer of every page.
7. How we share personal data
We may share personal data with approved providers that help us operate the Website and our business, such as: hosting, content delivery, security, and backup providers; form, CRM, and marketing-automation providers; transactional email providers; analytics and tag-management providers; advertising platforms, after valid consent where required; scheduling providers; video-hosting providers; live-chat providers; payment providers when payments begin; professional advisers, auditors, insurers, and legal counsel; regulators, courts, law-enforcement authorities, or other parties where required by law; and a buyer, investor, successor, or adviser involved in a genuine corporate transaction, subject to appropriate safeguards.
Complete the processor register (provider, location, data involved, safeguard, and policy link for each function) before publication.
We do not sell personal data in the ordinary meaning of that term. If future advertising activity constitutes “sale,” “sharing,” or targeted advertising under an applicable law, this notice and the Website controls must be updated before that activity begins.
8. International transfers
Some recipients may process personal data outside the European Economic Area, the United Kingdom, or your country. Where required, we will use an approved transfer mechanism, such as an adequacy decision, Standard Contractual Clauses, the UK International Data Transfer Addendum or Agreement, or another lawful safeguard, together with supplementary measures where appropriate. Contact legal@tryomneo.com to request more information about the relevant safeguards.
9. Retention
We retain personal data only for as long as necessary for the relevant purpose, including legal, accounting, security, and dispute requirements. The following are proposed defaults and must be approved before publication:
| Record | Proposed period |
|---|---|
| Waitlist records | Until access is offered or the waitlist closes, then up to 24 months after the last meaningful interaction |
| Demo/contact inquiries | Up to 24 months after the last meaningful interaction |
| Marketing contact | Until unsubscribe or withdrawal, followed by a minimal suppression record |
| Form entries retained by our forms provider | 30–90 days after successful CRM delivery |
| Consent records | Duration needed to demonstrate consent plus applicable limitation period |
| Web/security logs | 30 days to 12 months depending on purpose and risk |
| Payment and accounting records, future | Period required by national tax and accounting laws |
| Legal-claim records | Applicable limitation period plus a reasonable closure period |
We may retain anonymized information that no longer identifies an individual.
10. Your rights
Depending on applicable law, you may have the right to: be informed about processing; access your personal data; correct inaccurate or incomplete personal data; request deletion; restrict processing; object to processing, including direct marketing; receive certain personal data in a portable format; withdraw consent at any time; and lodge a complaint with a competent supervisory authority.
To exercise a right, contact legal@tryomneo.com. We may request information reasonably necessary to verify your identity. We aim to respond within the period required by applicable law, which is generally one month under the GDPR, subject to permitted extensions. You may lodge a complaint with the supervisory authority in the country where you live, work, or believe an infringement occurred. Our home supervisory authority is the Information Regulator (South Africa) under the Protection of Personal Information Act, 2013 (POPIA). If you are in the EEA or the United Kingdom, you may also lodge a complaint with your local data protection authority.
11. Automated decision-making
The marketing Website is not intended to make decisions based solely on automated processing that produce legal or similarly significant effects. We may use form information to prioritize business follow-up, but a person should review consequential early-access or commercial decisions.
12. Security
We use technical and organizational measures designed to protect personal data. No method of transmission or storage is completely secure. Security controls and public statements must reflect the actual production environment and approved security documentation.
13. Children
The Website is intended for business users and is not directed to children. We do not knowingly collect personal data from children through the Website. If you believe a child has provided personal data, contact legal@tryomneo.com.
14. Third-party links and services
The Website may link to or embed services operated by third parties. Their processing is governed by their own notices. Where an embed requires non-essential storage or access on a device, it should remain blocked until the required consent is given.
15. Changes to this Privacy Policy
We may update this Privacy Policy to reflect changes in our practices, providers, product, or legal obligations. We will update the “Last updated” date and provide additional notice where required.
